JOB SUMMARY
Provides administrative support to the Foundation’s procurement activities. In-charge of first-line screening, support, and monitoring of activities of Procurement team.
DUTIES AND RESPONSIBILITIES
1. Assists the Procurement Officer and Specialists in team direction and activities
2. Supports execution of canvassing/sourcing activities based on the direction of the Procurement team
3. Assists and facilitates the development and implementation of a procurement management system, which includes planning, awarding, administering, and monitoring all related matters
4. Maintains and updates the procurement monitoring system and provides feedback on purchase orders to Requesting Unit.
5. Drafts letters, memoranda, faxes, email, etc.; monitors progress, and; liaises with vendors during the entire procurement cycle
6. Ensures availability of supporting documents for audit and review purposes
7. Prepares the necessary documents for competitive bidding and provision of grants
8. Ensures that full and proper justification and documentation are provided for review and approval by the respective Procurement Authority in line with appropriate level of authority
9. Follow-up with suppliers, as needed, to confirm or change orders
10. Performs other tasks that may be assigned from time to time by the immediate supervisor and/or management
