Job Description

POSITION: Facilities Coordinator / Facilities Assistant
SITE LOCATION: Cavite
1. Vendor Management
1.1 Setting- up of vendor's SLA and KPI. (e.g., Preventive Maintenance of Elevator, Air-Conditioning System, Fire Pro System, FDAS, etc.)
1.2. Assist the immediate superior in collation, and documentation pertinent to building vendors.
1.3. Assist the immediate superior in monitoring of Building Operations, Security and Housekeeping
2. Technical Operations
2.1. Ensures that building equipment preventive maintenance programs are properly implemented.
2.2. Ensures that Tenant Requests/Concerns are attended and provides immediate actions/recommendations.
2.3. Develops and implements systems essential to maintain the property and all machineries and equipment in the property.
2.4. Ensures the equipment availability w/ minimal downtime.
2.5. Ensures that Tenant Requests/Concerns are attended and provides immediate actions/recommendations.
2.6. Make a regular inspection of the property/site.
3. Health and Safety
3.1. Ensures that the ff. health and safety equipment are efficiently functioning and properly maintained (e.g., FDAS, Fire Extinguishers, Fire Hose Cabinets, Fire Protection System, Emergency lights.
3.2. Ensure that all accident/incident(s) within the property are recorded.
4. Administrative Operations
4.1. Compliance to governmental permits and licenses. Ensures that all pertinent permits and certifications are up to date.
4.2. Ensures that all files, forms, and other important documents in use are ISO compliant.
4.3. Assists the immediate superior in preparing reports and correspondences.
4.4. Ensures that there is enough stock of frequently used materials for operations.
5. People Management
5.1. Assist the immediate superior in conducting the Daily Coordination Meeting.
5.2. Assist the immediate superior in assessing the performance of team.
6. Financial Operations
6.1. Assist the immediate superior in Expense Management. Ensures the efficiency of OPEX and CAPEX spending.
6.2. Utility Consumption Monitoring. Ensures that Power and Water consumption are being monitored and are operated within desired parameters
7. Tenant Fit-out
7.1. Provide technical input during the preparation of the Construction and Design Guidelines for the tenant fit-out.
7.2. Evaluate tenant construction plans and endorse approval by the assigned authorized personnel of the association/developer/Landlord; ensure that all plans are evaluated and released on schedule.
7.3. Make sure that if there is a required Government Permit prior to any renovation activity, it should be implemented as required.
7.4. Conduct regular inspection of tenant fit-out and monitor compliance to Construction and Design Guidelines as well as on the approved plans.
8. Business Development
8.1. Set regular catch-up meetings with landlords, tenants, and other stakeholders. (Catch Up is aligned with the Property Manager).
8.2. Customer Survey Ratings of Landlords. Ensures that PM provides the best quality of service to the landlords. Creation of a mutually beneficial business relationship.

9. Operational Enhancement
9.1. Suggests ways to streamline the technical process to offer the best service to the clients.
10. Personal Development
10.1. Participates actively in KMC activities such as corporate meetings, trainings, social affairs, and other company activities.
11. Others
11.1. Perform other related works that may be assigned by the Management.

Qualifications/Requirements

Bachelors/College Degree Electrical/Mechanical Engineering/Civil Engineering
With Professional License (Passed Board/Professional License Exam
At least One (1) to Two (2) years of work experience in the related field
Required Technical Skills: Leadership Skills, Analytical and Problem-Solving Skills, Decision-Making Skills, Specializes in maintenance/repair (building, machinery, HVAC & Genset)
Willing to work in Lyceum, General Trias, Cavite
With work experience in Commercial/Office Spaces/Residential properties is an advantage
