Job Description

Maintain and organize all company documents according to established protocols.
Ensure accurate labeling, version control, and secure storage of documents.
Regularly review, update, and archive documents to comply with ISO standards and company policies.
Monitor document control processes to ensure compliance with ISO 9001, ISO 14001, ISO 45001 and other relevant ISO standards.
Conduct regular internal audits of documentation to identify areas of improvement and maintain quality standards.
Prepare and provide documentation for ISO audits and liaise with auditors as required.
Manage the document revision process, coordinating with department heads and document authors to ensure timely and accurate updates.
Oversee the approval and distribution of controlled documents to relevant departments and stakeholders
Ensure consistency and accuracy in documentation to meet compliance and quality requirements.
Identify opportunities to improve document control processes, increasing efficiency and reducing errors.
Assist in the development and implementation of document management procedures aligned with ISO standards.
Work closely with other departments to streamline document-related workflows.
Train employees on document control processes, tools, and ISO compliance requirements.
Serve as a point of contact for document-related inquiries, providing guidance on document management best practices.
Implement records retention policies, ensuring documents are securely stored and disposed of as per company and regulatory requirements.
Maintain confidentiality and data security for all controlled documents.

Qualifications/Requirements

1. Bachelor’s Degree:

Often preferred in fields like Business Administration, Information Management, or Library Sciences. 

2. Technical Skills
Document Management Systems (DMS): Proficiency in software like SharePoint, Aconex, SAP, EDMS, or other document control platforms.
Microsoft Office Suite: Strong proficiency in Google Workspace.
File Conversion Software: Ability to work with PDF converters and other tools for file formatting.
Database Management: Basic knowledge of databases can be helpful for maintaining organized document structures.

3. Work Experience
Previous Experience in Document Control: Many positions require prior experience in document control or administration, particularly in manpower industries.

4. Soft Skills
Attention to Detail: Essential for ensuring document accuracy and preventing errors.
Organizational Skills: Strong ability to manage, store, and retrieve large volumes of documents efficiently.
Communication Skills: Clear communication is needed to liaise with team members, managers, and sometimes external stakeholders.
Time Management: Ability to prioritize tasks and meet deadlines.

5. Certifications
Certified Document Controller: Offered by professional bodies.
ISO Standards Knowledge: Familiarity with ISO 9001 and other quality management standards relevant to document control.
