Duties and Responsibilities
A. General
The Building Administrator is responsible for overseeing the overall operations of the building or facility. This includes ensuring the building's infrastructure, systems, and equipment are in good working condition, supervising repairs, and implementing projects related to facility improvement and maintenance.
B. Specific
1. Maintenance and Repairs:
a. Regularly inspect the building's electrical, mechanical, and plumbing systems to ensure they are in good condition.
b. Initiate all minor and major repairs of building structures, including offices, meeting rooms, and common areas.
c. Ensure that HVAC systems, lighting, and water supply systems are functioning efficiently.
2. Management of Major Projects:
a. Supervise the housekeeping staff in collaboration with the housekeeping team leader.
b. Supervise and monitor major renovation or construction projects within the facility.
c. Lead the planning, design, and scheduling for new facility upgrades or improvements.
3. Technical Support:
a. Troubleshoot and diagnose technical issues related to building management systems.
b. Collaborate with contractors and external service providers when specialized expertise is required.
4. Safety and Compliance:
a. Ensure that the building complies with safety standards and local building codes.
b. Conduct regular safety inspections and report any potential hazards.
c. Suggest policies on energy-saving measures and sustainable building practices.
5. Equipment and Inventory Management:
a. Strictly monitor the inventory of tools, equipment, and materials needed for facilities
management.
b. Assist in the procurement process by assessing material needs and coordinating with suppliers.
c. Maintain key inventory and keeps a record of the distribution of keys.
6. Documentation and Reporting:
a. Process and secure the permits such as Fire & Safety permits, CCTV Permits, Waste Management permit and other statutory certifications.
b. Manage and file all receipts, warranties, manuals, and building contracts.
c. Regularly update records of repairs, inspections, and upgrades.
d. Prepare and submit reports on the building's condition and the actions taken.
7. Perform other related duties as assigned by the immediate superior.
