Job Description

Primary Function:
Administrative Support:
Manage and record all incoming and outgoing documents.
Assist in maintaining accurate and up-to-date records by entering data, filing documents, and organizing information.
Perform administrative and clerical work as needed.
Maintain accurate and up-to-date records of administrative transactions, including permit renewals, access pass issuances to company facilities, and receiving and handing over Official Receipts and
Delivery Receipts as needed.
Maintain office supplies inventory by checking stock, anticipating needs, placing, and expediting orders, and verifying receipts.
Assist in data entry, filing, and record-keeping tasks.
Facilitate the handover of official receipts to the finance or accounting department for record-keeping and reconciliation purposes.
Coordinate with building administration to monitor and manage electrical systems, including lighting, power outlets, and emergency systems.
Develop and maintain a comprehensive schedule for facility care tasks, including carpet washing, pest control, AC preventive maintenance, and grease trap cleaning.
Coordinate with relevant departments and service providers to align schedules and ensure timely execution of maintenance activities.
Customer Service:
Manage queries across support channels (email, chat, txt, etc)
Prioritize and respond to inquiries promptly and efficiently, ensuring timely resolution of issues.
Maintain a high level of professionalism and courtesy in all interactions, striving to exceed expectations at every opportunity.
Understand and handle queries. Serve as the first point of contact for support, providing level 1 assistance 24x7.
Facilities Management Duties and Responsibilities
Facility Maintenance Staff (HARD SERVICES):
Conducting routine inspections of premises and equipment.
Paint or repair windows, doors, floors, woodwork, plaster, drywall, or other parts of office structures.
Conduct daily maintenance checking of the office and report any malfunction.
Handling repairs and maintenance.
Overseeing contractors when professional repairs are necessary.
Diagnosing mechanical issues and correcting them.
Repairing machines, equipment, or structures as necessary.
Keep detailed records of their work.
Checking control panels and electrical wiring to identify issues
Assemble, install, or repair wiring, electrical or electronic components, pipe systems, plumbing, machinery, or equipment.
Facility Care and Admin Staff (SOFT SERVICES):
Do daily housekeeping and ensure the cleanliness of the office as needed.
Responsible for garbage collection and proper disposal in the office to the disposal area.
Monitors and assists service providers working inside the office (pest control, telecoms, etc.).
Conduct assistance to 3rd Party Contractors.
Maintain cleanliness of all Enshored Facilities.
Assists in emergencies as directed.
Performs other duties and responsibilities as deemed necessary.
Report facilities-related events (leaks, lighting status, doors, furniture, etc)
Keep detailed records of their work.

Qualifications/Requirements

Education/Experience:
Preferably at least College Level
Proficiency in spoken and written English is required.
Excellent organizational and communication skills.
Ability to work well under pressure and in a fast-paced environment.
Basic computer skills.
Working knowledge of office equipment, like printers
Proficiency in MS Office (MS Excel and MS Word, in particular)
Must be amenable to work ONSITE and on a SHIFTING schedule in Cebu City
