Job Description

  • Reports to work according to schedule promptly and when needed.
  • Maintains the appropriate standard of appearance, hygiene, uniform, discipline and conduct.
  • Understands and follows the rules & regulations always.
  • Strictly follow all Health, Safety, Security and Environment policies. Report all unsafe act and safety hazard to immediate superior. Follow ERP procedures in case of emergency and security drills. Observe the HSES golden rules: Comply, Intervene and Respect.
  • Knows and stays familiar with station targets using Navigator board. Actively participates and contribute toward station goals and performance.
  • Answers telephone calls and inquiries using proper telephone etiquettes.
  • Responsible for all clerical and administrative requirements of the station including:
    • Sales analysis and reconciliation of cashiers’ sales reports
    • Cash count and prepares deposit slips for pick up by depository bank
    • Encoding of all sales transactions
    • Proof reading and checking
    • Reports generation & sales summaries
    • Screening and collation of all incoming and outgoing internal and external communications
    • Accounts receivable monitoring and collection
    • Filing and archiving of documents
    • Ensuring availability of office supplies
    • Handle sales calls and account inquiries
    • Other general clerical duties
  • Restricting access of office to authorized personnel to prevent losses of goods, supplies or materials.
  • Maintains alertness to:
    1. Counterfeit or mutilated bills and currency
    2. Station robberies
    3. Customer, employee and vendor theft
    4. Pilferage through product and price tampering
    5. Invoicing and pricing errors
    6. Encoding errors
  • Follow the required work procedure and process in performing assigned work. Ensure correctness and accuracy of sales data in a timely manner.
  • Handles customer complaints tactfully and properly. Report or refers complaints to immediate superior promptly.
  • Practice Clean Desk Policy
  • Attends meetings, training and seminars as required.

Qualifications/Requirements

  • A graduate of any 4 year Business related course
  • Must be proficient in clerical/paper works, Hardworking, analytical and detail oriented
  • Must have the ability to do multi-task, work under pressure and able to meet deadlines.
  • Must possess strong attention to detail &high sense of urgency and confidentiality and with mature disposition towards work.
  • Has the ability to type quickly and accurately and would be expected to meet the minimum requirement of 40WPM.
