Job Description

Document Management
  • Printing, scanning, photocopying, and filing of documents as required.
  • Editing and formatting internal administrative forms and correspondence.
  • Managing the inventory and timely replenishment of admin forms and related office supplies.
  • Booking of courier services such as UPS and FedEx for document and parcel deliveries.
  • Coordinating with courier service providers for timely pick-up and dispatch.
  • Scheduling and monitoring company vehicle usage for official purposes.
Facility and Resource Scheduling
  • Scheduling and coordinating the use of conference and meeting rooms.
  • Managing the booking calendar and resolving any scheduling conflicts.
Travel and Accommodation
  • Booking domestic and international flights for business travel.
  • Securing hotel accommodations for traveling staff and guests.
  • Managing travel documentation and itinerary coordination.
Telecommunications
  • Coordinating mobile phone plans and device assignments for employees.
  • Liaising with service providers for plan updates, billing concerns, or technical issues.
Production Liaison
  • Providing clerical support to the production department such as document encoding, printing of labels/forms, and filing of reports.
  • Coordinating administrative requirements between the office and production teams.

Qualifications/Requirements

  • Bachelor’s degree in Business Administration, Office Management, or a related field is preferred
  • Proven experience as an administrative clerk, office assistant, or in a similar role
  • Proficient in Microsoft Office applications (Word, Excel, Outlook, PowerPoint)
  • Excellent written and verbal communication skills
  • Strong attention to detail and organizational skills
  • Ability to multi-task and prioritize daily workload effectively
  • Professional attitude and strong interpersonal skills
  • Can work independently with minimal supervision
  • Trustworthy and able to handle confidential information
  • Willing to liaise with multiple departments and adapt to different administrative needs
