Job Description

Under the direct supervision of the Channel Manager, the Administrative Assistant provides essential support in ensuring the smooth and efficient day-to-day operations of the channel. This multifaceted role encompasses administrative coordination, clerical management, and cross-functional collaboration with operations, support teams, and external partners. Key responsibilities include report consolidation, resource tracking, compliance monitoring, onboarding support, and facilitation of communications, all aimed at enabling business continuity and operational excellence within the channel.
DUTIES & RESPONSIBILITIES:
1. Track and validate completion of reports submitted by supervisors.
2. Consolidate channel-wide data and prepare presentation decks for weekly, monthly, annual, and ad hoc business reviews for the Channel Manager.
3. Prepare the annual budget report for the Channel Manager.
4. Analyze financial trends, validate expenditures against accounts, and initiate requests for new or additional budget requirements.
5. Generate and manage tickets for IT-related concerns, payment requests, purchase orders, SWAF submissions, and other administrative matters.
6. Act as the primary contact for asset-related inquiries and resolution.
7. Partner with support groups and operations to facilitate onboarding of new hires and launch of new projects.
8. Monitor manpower requests, assist in screening applicants, and maintain confidential personnel files with strict data integrity.
9. Gather, update, and manage employee data for an accurate and up-to-date channel roster.
10. Monitor monthly and quarterly APMS completion across the channel.
11. Prepare and upload quarterly APMS summaries, and consolidate monthly APMS scores to support promotions and evaluations.
12. Compile and validate incentive-related data for channel-wide consolidation and submission.
13. Represent the channel in EMS programs.
14. Maintain EMS-related documentation, participate in environmental meetings, and relay updates to operations teams.
15. Plan, coordinate, and execute quarterly engagement activities in collaboration with channel officers
16. Collect operational data, conduct statistical analysis, and prepare insights and reports related to department or program performance.
17. Provide end-to-end administrative assistance to channel operations and stakeholders, ensuring smooth daily function.
COMMUNICATION
18. Sees as a liaison between the Channel Manager, team members, support groups, and external vendors to address general operational concerns and contribute to timely resolution of process-related issues.
19. Assists the Channel Manager in organizing and conducting production meetings to disseminate company updates, provide project status reports, assess team well-being, and capture feedback or concerns requiring follow-up.
20. Supports channel officers in identifying and submitting resource requirements—such as manpower, hardware/software needs, and workspace allocation—to the Channel Head.
21. Contributes to recommendations that ensure operational readiness and alignment with business continuity initiatives.

Qualifications/Requirements

QUALIFICATIONS:
Graduate of BS in Business Administration and or other related courses
At least 2 years of work experience &/or years of experience in relevant or related role/capacity
1 year or more of relevant and related experience in BPO industry is an advantage
