Your Role and Responsibilities
As an Administrative Assistant, you’ll take on a diverse set of tasks that are crucial to the smooth operation of our office. Here’s a detailed look at what your day-to-day will involve:
1. Office Management:
o Answering and directing phone calls to the appropriate team members.
o Managing incoming and outgoing correspondence, including emails and physical mail.
o Organizing schedules, meetings, and appointments for the General Manager and other staff.
o Maintaining cleanliness and organization of office and building areas.
2. Documentation and Reporting:
o Creating agendas, taking detailed meeting notes, and following up on action items.
o Preparing regularly scheduled reports for management review.
o Drafting, formatting, and printing a variety of documents, memos, and correspondence.
o Maintaining manual and computer filing systems for easy data retrieval.
3. Interfacing with Stakeholders:
o Acting as the company’s representative in dealings with government agencies.
o Providing general support to office visitors and responding to inquiries in person, via email, or by phone.
o Posting property content and announcements on the company’s social media platforms.
4. Operational Efficiency:
o Ensuring the smooth functioning of office equipment by coordinating preventive maintenance and repairs.
o Ordering and maintaining office supplies to ensure uninterrupted operations.
o Submitting and reconciling expense reports.
5. Tenant and Property Management:
o Maintaining accurate contact lists and files for tenants.
o Assisting with the preparation and verification of tenant-related paperwork.
6. Confidential Information Management:
o Handling sensitive information with the utmost professionalism and confidentiality.
