Job Description

The Food & Beverage Administrative Assistant aids management in various tasks and administrative projects. Responsibilities include generating reports, organizing schedules, and handling policy/procedural documentation. KEY ACCOUNTABILITIES:
Tasked with providing support to the team in managing operations, both in the kitchen and dining areas.
KEY WORKING RELATIONSHIPS:
Within the kitchen and dining team, this role involves serving as the primary point of contact, communication, and support for both the Management and Supervisory teams.

ESSENTIAL DUTIES AND FUNCTIONS:
• Become knowledgeable in all policies, procedures, standards, specifications, guidelines and training programs for all food and beverage outlets within the company.
• Prepare all required paperwork, including forms, reports, stocks inventory and schedules in an organized and timely manner.
• Assist F&B General Manager in carrying out restaurant marketing, advertising and promotional activities and campaigns and when applicable, get proper approvals from Corporate Marketing.
• Work in concert with the Chef/cook and kitchen team to ensure back-of-the-house needs are being met.
• Produce daily reports such as: Daily Sales Report, Daily Inventory, Purchase Orders, and Invoices in accordance with restaurant policies.
• Produce monthly reports such as: Monthly Report, Monthly expenses and monthly inventory.
• Provide manager reminders and paperwork processing such as: performance reviews due, new hire/termed associate paperwork, appointments, messages, spreadsheets, files.
• Support in responding to customer inquiries via telephone calls, text messages, and social media platforms, including taking orders, arranging food deliveries, and addressing related tasks
• Place office supply orders for the entire Food & Beverage team.

Qualifications/Requirements

CORE COMPETENCIES:
• Demonstrated strong organizational skills with the ability to multitask effectively in a dynamic, fast-paced environment.
• A Bachelor’s degree is required.
• Proven ability to make independent decisions while upholding ethical standards aligned with company policies and ensuring the confidentiality of sensitive information.
• Excellent interpersonal skills, with the capacity to engage effectively with both internal and external stakeholders. Skilled in managing challenging interactions with patience, tact, and diplomacy to resolve conflicts and de-escalate tense situations.
PHYSICAL DEMANDS
• Must be able to frequently position themselves throughout the restaurant in order to have access to all food and beverage outlets/venues.
