ADMINISTRATIVE SUPPORT
Organize the General Manager's calendar update.
Prepare and control administrative budget and department checking
Present comparison on costs, risks and benefits.
Arrange necessary travel requirements of the General Manager and team members in coordination with the VISA and TRAVEL team, as needed.
Oversee administrative details of delegated projects of the crewing department as instructed by the General Manager.
Screen requests for reimbursements and liquidation for General Manager's signing.
Manage office supplies inventory and ensure proper ordering and processing of payment, as needed.
Maintain schedule calendar and coordinate with concerned individuals.
Organize meetings called for and involving the General Manager.
Provide support to company-initiated engagement initiatives as instructed by the General Manager.
Maintain consistent performance of routine work.
REPORT PREPARATION
Prepare relevant reports needed by the General Manager.
Provide analysis on relevant content of the report.
Consolidate reports from different departments as instructed by the General Manager
Prepare and finalize reports for regular scheduled Department meeting.
DOCUMENT CONTROL & RECORDS MANAGEMENT
Prepares Memo and email communication to all involved employees/department as instructed by the General Manager.
Maintains & updates Document Registry for all memo and manuals amended.
Sort and review documents for review/approval/signature of the General Manager.
INFORMATION DISSEMINATION & INQUIRY HANDLING
Disseminate relevant information and announcements to concerned individuals/departments (Overall direction by General Manager and Bulletins, Employee Milestones).
Draft replies for communication materials on behalf of the General Manager.
Ensure proper handling of confidential information.
Handle inquiries that need not be tackled by the General Manager.
EMPLOYEE RELATIONS
Co-develops employee relations activities with HR and Support Group Superintendent.
Leads project management of minor event registrations.
Participates in major company events as part of working committee (Officers Conference, Summer Team Building, Christmas Party).
CORPORATE COMMUNICATION, SOCIAL MEDIA & MARKETING
Maintain a database of media organizations and contacts within them.
Manage the company’s social media communications.
Create and produce internal newsletters for the organization.
Write, edit, and distribute various types of content, including material for a website, press releases, marketing material and other types of content that take the message to the public.
Prepare and manage the organization’s marketing/communication budget for the General Manager's approval.
OTHERS
Perform other job or expertise related assignments in order to develop one’s self and/or share one’s expertise in cross-functional lead assignments.
EDUCATION: Bachelor’s Degree in Advertising, Marketing, Business Administration or relevant field
EXPERIENCE: With at least 2-3 years experience in office administration
